Security Role Descriptions

Security Role Description of Rights Who Needs This Role?
College Administrator Total access to every faculty member who is currently (or who was most recently) a part of the college. Allows the user to also change/edit/add faculty data to any faculty member in the college. Faculty Profile Managers, Deans, Associate Deans and college secretaries IF they need to edit college faculty data.
College Read-Only Access to view every faculty member who is currently (or was most recently) a part of the college. Does not give ability to change data. Anyone who needs to be able to view (but not edit) college faculty data.
Department Administrator Total access to every faculty member who is currently (or who was most recently) a part of the department. (Same privileges as the College Administrator, but on the department level.) Department chairs and secretaries IF they need to edit faculty data.
Department Read-Only Access to view every faculty member who is currently (or was most recently) a part of the department. Does not give ability to change data. Anyone who needs to be able to view (but not edit) department faculty data.
Individual This role gives the user the rights to access and manage a faculty member’s data and to run reports on that data. (Users with College or Department rights over an individual do not need this role to access/manage an individual’s records.) Staff asked to update a faculty member’s records.
Faculty (Created and assigned by OIT ONLY)

You should NOT create faculty accounts or assign this role. This is done by OIT when faculty members are hired.

This role allows faculty members the right to manage their own data and to run their own reports.

All faculty members.

Non-faculty should NOT be given this role.

Users and Security Admin This role gives the person the right to assign or remove security roles for the college or department. The ONLY person in the college who should have this security role is the college Faculty Profile Manager.
